MSUM Social Media Account Requirements & Agreement

In order to protect MSUM’s reputation, it is important to have a strategic plan in place prior to creating a social media account representing a university department, office or affinity group. Doing so ensures we are all working toward the same goals, making the most of our teams’ often limited resources, avoiding duplicated efforts and, most importantly, representing our university in the best light in order to attract and retain students, employees, community partners and donors.

Review the checklist below. All steps must be completed prior to creating a social media account connected to the university. If the process is not followed, your account(s) may be subject to deletion or suspension.

MSUM Social Media Creation Checklist

  • Receive written approval from your department chair or supervisor.
  • Review the Creating an MSUM Social Media Account webpage.
  • Submit the Social Media Account Request Form.
  • Share a content plan with the MSUM Marketing Team. The content plan should:
    • Extend at least 30 days.
    • Provide a preview of the content your account will share (i.e., post examples with images/links/videos).
    • Be thorough and relevant to your department, office or affinity group.
  • Schedule a 30-minute consultation with the MSUM Marketing Team to discuss social media standards and guidelines, university policies, and brand standards.

Only when these steps have been completed should you create an MSUM-affiliated social media account. Such accounts will:

  • Be created using an mnstate.edu email address.
    • For platforms requiring a personal profile for setup (e.g., Facebook), the university’s digital marketing specialist or their designee will be added as an administrator on the account.
  • Provide login credentials to the university’s digital marketing specialist or their designee.
  • Adhere to MSUM brand standards, especially in the use of logos, design elements and naming conventions.
  • Be overseen by a full-time university employee, though student workers may assist in content creation and posting.
  • Protect confidential and proprietary information, and follow applicable requirements (e.g., FERPA and HIPA), as well as NCAA regulations and university policies.
  • Post original content, or if sharing another account’s content, being mindful of intellectual property rights and copyright rules.
