    Refer to the information below regarding enrollments in D2L Brightspace.

    Student Enrollments (ISRS)

    Registered students (and others officially listed on the classlist by the Registrar) are automatically enrolled into the appropriate D2L Brightspace course shell by ISRS (Integrated Statewide Record System).

    Full updates to the classlists are handled in an overnight process. However, enrollments and withdrawals are updated more frequently in the days leading up to and during the semester. Note: You may encounter a slight delay between when a student is added or withdrawn from the course in eServices and when the change appears in the classlist in D2L Brightspace.

    Teaching Assistant (TA or GA) Enrollments

    Do you have a teaching assistant (TA or GA) helping you during the semester? If so, and would like to have them enrolled in your course site in D2L Brightspace, please submit your request by e-mail to support@mnstate.edu.

    Be sure to include the following information in your e-mail:

    • First & Last name of the teaching assistant.
        
    • Teaching assistant's StarID or Dragon ID.
        
    • The course(s) in which they should be enrolled. Please include course name, number, and six-digit course ID -- for example MUS 101 (000123).
        
    • The "role" you would like them to have in the course:
       
      • Student Special Access: same as student, no classlist access. Can be used for Learning Assistants.
         
      • Student Special List: same as student, includes classlist access. Can be used for Learning Assistants.
          
      • Teach Assist: same as the Teacher role, but access ends on the course end date.
          
      • Teach Assist - No Grade: same editing permissions as Teacher, no gradebook access, access ends on the course end date.
          
      • Teach Assist - Grader: access to view and provide feedback to assignments, has access to the gradebook, no edit rights to content or other tools, access ends on the course end date.
          
      • Teach Assist - Assignment: ability to view and provide feedback for student assignment submissions, no gradebook access, no edit rights to content or other tools, access ends on the course end date.
       
    • Confirmation of completion of the FERPA Tutorial (http://www.mnstate.edu/records/ferpa/tutorial.aspx).


    It is your responsibility to ensure your TA or GA has completed the FERPA Tutorial.

    For FERPA purposes, you are required to add a statement in your syllabus indicating the addition of the person and their role in your course.

    Note: Teach Assist roles are allowed access to the course before the Start Date to assist with course set up. Student Special Access and Teach Assist access ends as-of the course End Date.

    Additional Enrollments (faculty, others)

    Faculty members listed on the Course Schedule as the instructor of record are automatically added to their assigned course. Due to FERPA, non-teaching instructors are not allowed to be added to a course. Other staff members cannot be added to the course for the purpose of entering grades on behalf of an instructor.

    The only exceptions:

    • A lecture instructor can be added to all labs in their course in order to compile lab grades in the lecture course.
    • A lab coordinator can be added to all lab sections.
    • Practicums or Clinical Supervisors/Coordinators.
    • Development or ongoing courses.


    In either of the first two exceptions given above, you are required to add a statement in your syllabus indicating the addition of the person and their role in the course (e.g., lab coordinator).

    Please contact the MSUM Registrar's office for questions regarding the above policy.

    Dropped Student Due to Failing Final Grade

    Was a student dropped from your D2L Brightspace classlist after you completed entering final grades and LDA information for your course?


    A student will be dropped from the course once you enter a grade of “F” and the required Last Date Attended (LDA) information for a student in eServices. The student is automatically un-enrolled from his or her D2L Brightspace course by the next day if they have a failing grade.

    Although you can no longer see the student on the classlist, their work has been saved within the course on D2L Brightspace.

    If you simply want to see the un-enrolled student’s grade information, you can do the following:

    1. Display the Classlist by clicking Communications + Classlist.
        
    2. Click on the Enrollment Statistics button at the top.
        
    3. Scroll down a little to see the list of students who withdrew from your class or were withdrawn from your class for some reason (including an F grade).
        
    4. Click on the down arrow to the right of the student’s name and then on View Grades. This will display the student’s grades.


    If you need to see actual student submissions (e.g., a student’s submitted Assignment files, Discussions posts, or his/her answers to test questions), please send an email to the Office of Online Learning at support@mnstate.edu so we can temporarily re-enroll the student into the D2L Brightspace course.

    Please provide the following information when making your request:

    • Course Name, Number, and Section (e.g., ED 101 01)
        
    • Course ID # (e.g., 001234)
        
    • Semester
        
    • Student’s Full Name
        
    • Student’s StarID

     

    Students Making Up an Incomplete

    Students can be provided extended access to a course in D2L Brightspace beyond the course end date if they have been approved for an incomplete. Students must complete their work in the course in which they were originally enrolled. A student cannot be added to a course in a subsequent semester, regardless of whether it is taught by the same instructor.

    Faculty must complete and submit an Incomplete Grade Form with the Registrar's Office.

    If you wish to provide the student access to the original course in D2L Brightspace, please send an email to the Office of Online Learning at support@mnstate.edu so the student's role can be changed from Student to Student-Incomplete.

    Please provide the following information when making your request:

    • Course Name, Number, and Section (e.g., ED 101 01)
        
    • Course ID # (e.g., 001234)
        
    • Semester
        
    • Student’s Full Name
        
    • Student’s StarID

     

    The instructor is responsible for verifying that course content and remaining graded activities are available to the student for completion. This may mean changing or removing end dates for quizzes or assignments and updating lock dates for discussions.

    The Office of Online Learning will follow up with either the instructor or consult an ISRS report to verify when the student's role should be changed back to Student, thus ending his or her access to the course.
