20.1 Procedure for Calling in Sick
- When ill, call the library administrative office and ask the administrative assistant to send out an email notifying everyone in the library that you are ill. Request that the administrative assistant notify the reference coordinator to make necessary reference desk schedule changes. If the administrative assistant is not in, go to step B.
- Call another staff person, in your area if possible, and ask them to send out an email notifying everyone in the library that you are ill. You must speak directly to a staff person, a phone message is not sufficient. Request that the staff person notify the reference coordinator to make necessary reference desk schedule changes.
20.2 Minimum Number of Librarians on Duty
At certain times during the academic year (i.e. fall and spring semesters), a number of librarians may need to be on duty while performing tasks outside the library proper. These reasons include: 1) professional development activities such as conferences, meetings, and workshops, and 2) work-related activities such as consultations with colleagues from other libraries and faculty from other universities. In many cases, such travel will require librarians to be unavailable in the library for one or more days. This will decrease the number of librarians available for duty in the library.
When travel that decreases the number of librarians available for duty in the library occurs, a sufficient number of librarians will need to be on duty in the library for providing public services, primarily reference service. Fewer librarians available in the library than the total complement of library faculty will naturally impede other professional duties.
Therefore, in order to prevent the delay of other professional duties to the point of jeopardizing the library's total mission, a minimum of four librarians will be on duty in the library for a maximum of four consecutive weekdays. A duty is as defined in Article 5, section N of the IFO-MnSCU Master Agreement. This minimum number of librarians is based on the current staff of eight library faculty.
20.3 Portable Equipment Use Policy and Procedure
Equipment included in policy: laptop computers; portable printers; portable sound system
Who may borrow such equipment for University related functions: Instructional Resources faculty who are regular employees of Minnesota State University Moorhead, for the purpose of conducting University business.
Procedure for borrowing equipment:
- Faculty member requests equipment by filling out the Request Form and submitting it to Director of Instructional Resources. Forms are available from the Instructional Resources secretary.
- When Director approves the request by signing the form, faculty member picks up the equipment at the Instructional Resources office and checks it out as he or she would any regular library item. The equipment will be barcoded so that others will know if equipment is available or checked out.
- Faculty member returns equipment to Instructional Resources office after checking to make certain all accessories are there. Report any difficulties with the equipment to the Instructional Resources secretary so that repairs can be arranged.
The person returning the equipment is also responsible for removing from the laptops or other computers any personal communications or other personal files (e.g.. e-mails, word processing files, etc.) Liability for equipment is consistent with University policies.
20.4 Library House Fund
Contributions: An annual assessment of $5.00 will be collected in January of each year from all classified and unclassified staff. Payments are to be made to the Library Secretary. Staff that do not pay the annual dues are not eligible for any of the benefits.
Departures: A coffee party will be given for all departing employees. Those people employed one year or more will be given gifts not to exceed the following scale.
Under 1 year Coffee party onlyIllness: When a staff member is hospitalized, has outpatient surgery, or is on an extended sick leave of one week or more, flowers or a plant will be sent not to exceed $15.00. A memo will be posted notifying staff of any of the illnesses above.Deaths: A floral arrangement will be sent at approx. $25.00 (plus delivery charges) when an employee dies. When a member of the employee's immediate family dies, a $15.00 memorial will be sent. (Immediate family includes the employee's: spouse/partner*, parents/step-parents, guardian, children/ stepchildren, wards, brothers, or sisters; and the spouse's/partner's parents/step-parents.) A card will be sent in the case of the grandparents or grandchildren of the employee. A memo will be posted notifying staff of any deaths and funeral information if it is available.Weddings: An appropriate gift will be presented not to exceed $15.00.Births: An appropriate gift will be sent not to exceed $15.00.Library Service Awards: The House Fund shall recognize employee's service to the library with roses. Every fifth year, on the anniversary of first day of his/her employment, each employee will receive a vase containing one rose for each five years of service at Livingston Lord Library. The roses will be purchased by the House Committee from the House Fund.The committee is made up of one representative from each of the following areas: Library Faculty, Technicians, GMWs/Clerks. Committee members will serve for one fiscal year (July 1 - June 30). Rotation of the committee members is done alphabetically in each of the three groups. If a member of the Committee leaves, a replacement will be appointed for the remainder of the year.Note: All other parties, luncheons, showers, etc., will be privately arranged and will not be a function of the committee.
