Creating a Privacy Statement in Your Email Signature

To attach a signature in Thunderbird, you must first create a text document with the desired informantion and then adjust the settings in Thunderbird to attach the file.

Create the Signature Text File
1) Open Notepad - Select Start >All Programs >Accessories > Notepad
2) Copy the following statement and paste into the Notepad document:

This e-mail message is intended only for the named recipient(s) above and is covered by the Electronic Communications Privacy Act 18 U.S.C. Section 2510-2521. This e-mail is confidential and may contain information that is privileged or exempt from disclosure under applicable law. If you have received this message in error please immediately notify the sender by return e-mail and delete this e-mail message from your computer.

3) Type your signature information below the privacy statement
4) Select File > Save As and change Save In: to My Documents
5) Name the file Signature.txt and click Save
6) Close Notepad

Change Settings in Thunderbird
1) Open Thunderbird
2) Select Tools > Account Settings
3) Select your email account (e.g., alm@mnstate.edu)
4) Select checkbox by Attach the signature:
5) Click Choose button and navigate to My Documents
6) Select Signature.txt file and click Open
7) Click OK button to save your new settings

 

Outlook

1) Open a new message
2) On the Message tab click Signature and then click Signatures
3) On the E-mail Signature tab click New
4) Type Privacy as the name for the signature and click OK
5) Copy the following statement into the Edit signature box

6) Type your signature information below the privacy statement
7) In Email account: box select Zimbra Collaboration Server
8) In New messages: box select Privacy
9) In Replies/forwards: box select Privacy
10) Click OK
11) Close the message and open a new message to review your signature
