This document is a list of answers to the questions we hear most often.  If you have any questions about or problems with the GroupWise Calendar, please read through this document before contacting Information Technology.

How do I get GroupWise Calendar?

How do I sign up for the GroupWise ListServ?

I have my calendar set for alarms, but they don't go off. Is it my setup or my hearing?

How do I give others access to my calendar?

How do I see my co-workers' calendars? They gave me access but their names don't show up in my Proxy list.

How do I make Calendar come up automatically when I start GroupWise?

How do I get GroupWise Calendar?

To have GroupWise Calendar installed on your computer, email support@mnstate.edu with your request.

How do I sign up for the GroupWise ListServ?

The instructions for signing up for the GroupWise Users listserv are: 
  1. Go to http://lists.mnstate.edu/mailman/listinfo/groupwise_users
  2. First subscribe: Only members may send - receive - view listings – Section 3
  3. Change your Options or see who else subscribed – Section 4
  4. Look for answers to your questions in the Archives – Section 1 (coming soon)

I have my calendar set for alarms, but they don't go off. Is it my setup or my hearing?

You likely don't have Notify running. To enable it from within Calendar, click Tools > Options. Double-click Environment. Click the General tab and check the box to the left of the Launch Notify at Startup option. Click OK. Click Close. Restart your computer to activate.

To customize the Alarm sound, right-click the Notify (globe) icon in the System Tray. Select Options and click the Alarms tab. Click the folder icon next to the Play Sound box and select any sound file (.wav) on your computer.

 

How do I give others access to my calendar?

To add and remove proxy names and rights in your Access List:

ADD PROXY NAMES

  1. Click Tools > Options

  2. Double-click Security > click the Proxy Access tab

  3. Click the Book icon next to the Name box

  4. Scroll down and double-click the person's name - You may add several names if desired

  5. Click OK to return to your Access List

DEFINE ACCESS RIGHTS

  1. Click the person's name in your Access List
    - You may give the same rights to several individuals at once by holding the Ctrl key while you select their names
  2. Select the rights you want to give to the user by clicking the Read and/or Write boxes by Appointments:
  3. Repeat Steps 1-2 to assign rights to each user in the Access List
  4. Click OK

DELETE A USER FROM YOUR ACCESS LIST

You can select All User Access in the Access List to assign a default set of rights to all users in the Address Book. For example, if you want all users to have rights to read your mail, you would assign Read rights to All User Access.

  1. Click Tools > Options.

  2. Double-click Security > click the Proxy Access tab 

  3. Select the user's name from you Access List

  4. Click the Remove User button

  5. Click OK

How do I see my co-workers' calendars? They gave me access but their names don't show up in my Multi-User Calendar list.

To view others in your Multi-User Calendar once they give you access rights, you must add them to your multi-user calendar list before you can see them.
  1. Click the multi-user calendar icon to activate

  2. Click the down-arrow next to the multi-user icon

  3. Select Add or Remover Users...

  4. Click the Book icon next to the Name: box

  5. Double-click each user's name to move it to the right pane

  6. Click OK to add the names to your Multi-User List

  7. Click the check the box in front of each name

  8. Click Apply

  9. Click OK

How do I make Calendar come up automatically when I start GroupWise?

You can change GroupWise settings so that Calendar opens automatically when you start GroupWise as follows:

  1. Ensure GroupWise is not running

  2. Click Start, Run, enter x:\calstart\setup.exe in the Open: field, and click OK

  3. Click Next.

  4. Fill in the Name and Company fields if they are blank, and click Next

  5. Click Next three more times (accept the default settings)

  6. Click Finish

Now when you open GroupWise, you will be sent directly to the Calendar feature.

Is there any easy method to set repeating day events in GroupWise like we did in Netscape Calendar?

Actually, using the Notes feature of GroupWise will allow you to do essentially the same thing.

  1. Display Reminder Notes
    • They always show in Daily View OR
    • Click Show/Hide Notes button to the right of the Multi-User view button
  2. Double-click in the Reminder Note pane

  3. Enter Subject

  4. Click Actions>Auto Date and select the recurring dates

  5. Click the Yellow Post-pin button and the item shows on specified days

I notice that when I click on tools when I am in the calendar, "options" is not highlighted. How can I get these to work for me?

In order to access the Tools > Options feature (and several others), you must be logged into the account not acting as proxy. In other words, when you want make changes to the dean's calendar, you'll need to be at the dean's desk.

I notice some calendars are color-coded and looking really good.  How can we do this for our office?

To change/set the color of categories:

  1. Select any appointment

  2.  Go to Actions > Categories > More... 

  3. Click on any category to activate the buttons on the right side of the window

  4. Click Edit Color to open the color palette and make a selection

To create a new category:

  1. Follow steps 1 and 2 above

  2. Type the name of the category into the box at the bottom of the window

  3. Click OK

  4. You may then set the color with the Edit Color button.

NOTE: you must select the Category for each calendar item to make them show up in color.
