Reimbursement for Candidate Costs for Searches 

We pay candidate's room and board expenses while they are here interviewing.  We do not pay for snacks in airports, Xeroxing, or incidental costs during their trip. If there are special problems or needs for deviations from the following or reimbursement of unusual expenses, consult your Dean or Director for approval.  Ask him or her to alert me about the approved expenditure, so I won't call you when it is processed.

MEALS - MSU Moorhead will reimburse for the costs of meals, exclusive of alcohol, for the candidate and one local host only.  We are expected to follow the maximum reimbursement rates specified for meals by MnSCU.  Because we are supported by the State of Minnesota, it is expected that, normally, lodging and meals be in Minnesota. 1.     Please charge your meals, if possibleIndicate your name, department and the search number or name of candidate being interviewed on the charge slip. MSUM purchasing cards are not to be used. Complete the Request for Approval of Special Expenses form and get the Comptroller's signature before you charge any candidate meals.

2.     If you cannot charge your meal, then pay and get an itemized receipt.  Then file for reimbursement the same way you file for travel reimbursement.  However, in this case, you cannot take the standard rate for meals, but must include a receipt.  Unfortunately under State regulations, your reimbursement will count as taxable income! 

3.     Candidates should charge any meals taken alone in the hotel to their room, so it will be paid as part of the billing to MSUM.  Please discourage candidates from paying for their own meals.  However, if it must happen, then they must get a receipt and file using a Vender Certification form as described in the Hiring Manual. They cannot use State of Minnesota per diem.

4.     You may charge meals at the Union Station in the CMU, too.  You will be required to fill out the top  portion of the Union Cafe charge form and bring it with you to the Union City Cafe.  

5.     On purchase orders, please include candidate's name, search number, department, and dates of candidate's visit along with a description of what the PO is for.
